Google Drive — Media Approvals folder
Evidence binder separate from inbox search — complements optional internal Sheet.
For new teammates: Think of each subfolder as a mini litigation binder—if someone disputes what was allowed, you can hand counsel a single directory and walk away.
Why this exists
Mail search is powerful but messy (threads fork, people forward from wrong addresses). Drive gives you a one-collaborator, one-folder story that matches how approvals are named and found during deletion reviews.
Naming tip
Use the same letter ID string the site shows. If the creator gave you a nickname (“the bridge letter”), add it in a notes.txt inside the folder—do not replace the ID in the folder name.

Per collaborator
One subfolder containing at minimum:
- Original inquiry (export / PDF / forward)
- Filled Tier A checklist (or note: escalated Tier B)
- Approval email you sent
- Their written confirmation (“I agree to these terms”)
Naming convention: YYYY-MM-DD_CreatorName_LetterID
